The challenge

A growing clinic runs on a lot of moving parts: bookings in one system, payments in another, patient records in the practice management system, and a clinical letter to write after every consult. Off-the-shelf tools each held part of the picture, so staff spent time joining them up by hand — and patients needed one simple place to book, pay, update their details and join their consult.

What we built

• The website — menodoctor.com on Shopify, with booking front and centre, a quiz, and a Help Centre with an AI assistant at help.menodoctor.com.
• The booking system — next-available appointments, doctor-specific booking links and payment, with an automated test gate that checks the booking path on desktop and phone before any change goes live.
• The patient hub — a secure account with passwordless sign-in by emailed code, where patients update their contact, GP and pharmacy details, make requests, complete forms and see their next appointment.
• The consult and scribe platform — video consults with a waiting room and device checks, in-room recording, an AI scribe, and clinical letters the doctor reviews and files to the patient record. It’s now Kakapo Health.
• The team site — the staff side: consult letters and their status, call-quality reports, forms, availability, CPD logs and team chat.
• The Menodoctor at Work CRM — website enquiries captured automatically, email alerts to the team, pipelines, contacts, notes, tasks and drafted follow-ups for corporate enquiries and partnerships. It’s now Pipit CRM.
• Automated alerts and digests — a payment digest every morning, immediate alerts when something like bookings stalls, and monitoring of consult recordings.
